Digital transformation in education administration is an operational necessity. From administrative efficiency to information governance and cross-departmental collaboration, universities around the world are under increasing pressure to modernize how information is managed, secured, and utilized. In response to this pressure, our colleagues at Canon Hong Kong hosted the ThinkBIG “EduTech Horizons: Pathways to a Smarter Future” forum last week, bringing education and business leaders under one roof to explore and share how technology is enhancing the effectiveness of education administration and shaping the future of intelligent campuses.

During his welcome speech at the event, Jeffrey Kung Shiong-Loong, Senior Director of Canon Hong Kong, said, “At a critical juncture in the accelerated transformation of the education sector, institutions need to re-examine their existing operating models and adopt smarter and more sustainable solutions. The ThinkBIG series aims to provide a collaborative platform for the education community to facilitate knowledge exchange and explore forward-looking solutions that meet practical needs and help institutions move towards digital transformation with greater confidence and support their long-term development.”

Keynote speaker, Ms. Flora Ng, Chief Information Officer and Director of the University Library of the University of Hong Kong (HKU), opened the ThinkBIG “EduTech Horizons: Pathways to a Smarter Future” forum with her presentation “Explore How Universities & Academic Institutions Embrace Digital Transformation,” which explained how Therefore™ information management software helped the university gain control of their paper-based admissions process. Named #1 in Asia by QS Asia and among the top-ranked institutions globally, HKU receives tens of thousands of applicants a year. Her presentation highlighted how digitizing paper-based administrative processes can significantly improve information governance, operational efficiency, and collaboration between departments.

What was once a cumbersome paper-based administrative process turned into a centralized digital platform, allowing faculty and staff to quickly locate required records and enhancing cross-departmental collaboration efficiency.  Therefore™’s built-in data encryption and access control functions ensure the protection of students’ sensitive information. This foundational investment into information management technologies lays the groundwork for superb data governance, allowing for other departments in the university to take advantage of digital transformation.

Mr. Ivan Kwok, Senior Manager of Canon Hong Kong Co., Ltd., expanded upon how Canon-backed solution Therefore™ can help educational institutions optimize daily operations, enhance efficiency, and facilitate cross-department collaboration.

For educational institutions, information exists everywhere; student records, admissions documents, HR files, contracts, financial approvals, research materials, compliance documentation, and more. Managing these processes manually or across disconnected systems creates inefficiencies that slow operations and increase risk.

With Therefore™, organizations can centralize information, automate workflows, strengthen security, and improve visibility across departments. For universities and schools, this creates opportunities to:

  • Reduce reliance on paper-based processes
  • Improve collaboration across faculties and administrative teams
  • Strengthen information governance and compliance
  • Increase operational efficiency through workflow automation
  • Support secure, scalable digital transformation initiatives

As educational institutions continue exploring AI-enabled information management, intelligent data capture, and workflow automation, strong information governance becomes increasingly important. Structured, accessible, and secure information is the foundation for successful digital transformation and future AI initiatives.

The conversations throughout the forum reflected a broader global trend: educational institutions are actively seeking ways to modernize administrative operations while maintaining strong security, governance, and usability standards.

HKU’s experience demonstrates that digital transformation in education is about creating a more connected, efficient, and intelligent environment for students, faculty, and administrators alike.

As institutions worldwide continue investing in smarter education ecosystems, information management platforms like Therefore™ are helping turn that vision into reality.
